This guide will introduce you to key digital tools, platforms, and best practices to help you stay organised, communicate effectively and work collaboratively in virtual and hybrid environments.

Efficient file management saves time and reduces frustration when working on assignments and projects. 

At the University of Exeter, students have access to OneDrive, providing secure cloud storage. Using OneDrive allows you to: 

  • Access files from any device. 
  • Collaborate with peers on shared documents. 
  • Keep your data backed up and secure. 

Top tips

  • Use clear folder structures – e.g., Module > Assignments > Drafts. 
  • Follow consistent naming conventions – e.g., ModuleCode_AssignmentName_V1.docx. 
  • Enable version control – Use OneDrive's version history to track changes. 
  • Secure sensitive data – Avoid storing confidential information in shared folders. 

While OneDrive provides automatic cloud backup, consider these additional strategies: 

  • 3-2-1 Backup Rule: Keep 3 copies of important data on 2 different media types with 1 copy stored off-site. For example; 
    • Original copy (1st copy) 
      • You write your essay on your laptop using Microsoft Word, saved locally to your laptop Documents folder. 
    • Second copy on a different media type 
      • You back it up to a university-provided OneDrive account or you save a copy to a USB flash drive or external hard drive after each major edit. 
    • Third copy stored off-site 
      • Your OneDrive back up counts as off-site as it is in a remote data centre, however you may also save in another cloud storage solution (e.g. Google Drive, Dropbox), in case you have issues accessing your account. 
  • External Hard Drives: Used for large files or complete system backups 
  • Automated Backup Schedule: Set up Windows Backup or macOS Time Machine for local backups
