Communicating effectively in digital spaces ensures clarity and professionalism. 

Top tips: 

  • Check the preferred channel – Different organisations and teams may have preferred platforms for different types of communication. For example using email for formal or strategic messages that need to be recorded, and tools like Microsoft Teams for quick updates and collaboration—always follow the local norms.
  • Email essentials – Use subject lines, structured emails, and appropriate salutations. For example, start with Dear Dr Smith or Hi Alex and sign off with Kind regards or Best wishes, depending on the level of formality. If you're unsure how formal to be, start with the most formal option and adjust based on how the recipient responds.
  • Instant messaging – Use clear, concise language and respond promptly. 
  • Email attachments and links – Use links instead of large file attachments to share important files.

Effective communication goes beyond tools—it’s also about tone, timing, and digital behaviour. The following etiquette tips can help you build positive relationships and communicate more professionally in academic and workplace settings: 

Self-reflection activity: your communication

Review the last five emails you sent and evaluate them against five criteria:

  • Clear subject line that indicates purpose 
  • Appropriate tone for the recipient  
  • Professional greeting and closing 
  • Concise content with clear action items 
  • Correct grammar and spelling 

Think back to a recent online class or group meeting and consider 4 questions:

  • Did everyone get a chance to speak?  
  • Were cameras on? What was the impact?  
  • Were any messages missed or misunderstood?  
  • What might you do differently next time to support a more inclusive and professional environment?
